TCF Swim Families,

Our first swim meet of the summer season is Thursday, May 28th, at Windermere. The theme is “USA,”if your swimmer wants to dress up! Please see below for all the important details. Please make note of the address, arrival times, parking and spectator specifics.

Parking

Please follow the parking guidelines from Windermere—

OK to Park:

✅ Pool parking lot

✅ Exit side of the lot (not near the median)

✅ Nearby neighborhood streets (one side only; don’t block medians or hydrants)

Please avoid:

❌ Windermere Golf Club (they will tow)

❌ Front Nine Drive

❌ Grass areas

❌ Circle in front of the pool

Sick Child/Emergency

If your child becomes ill, or you have an emergency at the last minute and you will not be able to participate in the meet (either as a swimmer or volunteer), please contact the following people:

We ask that you limit meet withdrawals to illness or emergencies only, as it is very difficult to make last minute changes once the meet lineups are set.

Volunteer Assignments

Volunteer assignments will be complete tomorrow unless we have a sick child/cancellation. If a change needs to be made, we will let you know. Please take note of which position you have been assigned. Bullpen parents need to arrive at the same time as swimmers (4:15 pm). Timers/recorders and judges will meet around 5:00pm for a meeting. All 2nd shift volunteers check in before 7pm.

Heat Sheets

Heat Sheets will be sent out via e-mail around 2:00 pm on Thursday. Please PRINT a copy for yourself, as we will only have limited copies available for those volunteers who need them for their volunteer job.

Arrival Times & Schedule

• FLAMES Arrival Time: 4:15 pm
• Warm-ups will be 4:45 PM
• SPARKS will swim at 5:15 PM
• Meet starts promptly at 5:30 pm

Bullpens

Please drop your child off at their bullpen and have them check in with a bullpen volunteer.

Our bullpens will be on the far-side of the covered pavilion. See attached picture for layout.

What to Bring

Important items to pack include two towels per child (one to sit on, one to dry off with), sunscreen, bug repellant, a small cooler (for water, Gatorade, and snacks), fun things for your child to do (there is plenty of down time between races), folding chair for parents, money for concession stand, a PRINTED heat sheet, and a flashlight in case the meet goes late. Please label ALL of your belongings. Many things tend to go missing at the end of the meet, especially when it starts to get dark. We advise against bringing electronics to the meet; WATER + ELECTRONICS = BAD

Pool Use (Important)

The slide pool is off-limits during the meet. The lap pool (including the stairs) is only for swimmers actively swimming in their events. Anyone not following these rules may be asked to leave the deck, safety comes first.

Seating

Please plan to bring your own chairs. Windermere pool furniture is not available for use, and lounge chairs cannot be moved or adjusted per HOA rules. Covered seating is first come, first serve under the pavilion area.

Food

If you pre-ordered Chick-fil-a or Alessio’s Pizza, an announcement will be made when orders have arrived. Windermere will also have hamburgers, hot dogs, water, Gatorade, Bahama Bucks frozen treats, candy, and more. Cash and credit cards are accepted.

Weather Policy

We try to never reschedule a meet due to weather! If there is thunder or lightning, the referee or the lifeguard will make the call to clear the pool. This may delay the start of a meet or cancel warm-ups. If it occurs during the meet, we will confer with the other team and make a decision whether to stop the meet completely or wait it out. We usually wait as long as possible, but keep the safety of our swimmers and their families a priority. During weather delays we suggest that families retreat to their cars and wait for text updates. Weather related updates will be made via our SwimTopia App - make sure your notifications are turned on!
